Definition

Financial entries are a simplified type of journal entry designed for bank and cash transactions. They follow the same double-entry bookkeeping principles, but expose only the fields needed for typical financial operations: you send the counterpart lines, and the bank or cash side is booked automatically.

Purpose

  • Simplify the recording of bank and cash transactions, such as bank transfers or cash payments.
  • Generate the matching journal entries automatically.
  • Link each transaction to the right ledger account or partner, and match it with open invoices when possible.

Structure

Each financial entry has:
  • An accounting date (date)
  • A journal (journal_id): a bank or cash journal
  • A number (number): your unique identifier for the entry, recommended to prevent duplicates. Each accounting software has its own rules for it, see Number restrictions
  • A reference (reference) shared by all lines, for example a bank statement reference
  • A currency (currency) and, when it differs from the folder currency, an exchange rate (currency_exchange_rate)
  • Lines (items). Each line has:
    • An account type (account_type): general_account for a ledger account, or a third-party account for a customer, supplier or employee
    • An account (account): the ledger account number, or the identifier of the partner
    • An amount (amount): positive for money received in the bank or cash account, negative for money leaving it
    • A description (description): the most identifying information, such as the counterparty name, IBAN or structured communication
    • Optional tax information (tax_info), for general accounts only
    • An optional matching number (automated_matching_number): the invoice or document number, used to match the line automatically with an open item
  • An optional PDF attachment (pdf, pdf_name)

Relationships

  • A financial entry is recorded in a bank or cash journal (journal_type financial_operation). When the accounting software does not link the journal to the ledger account of the bank, pass that account in the financial_counterpart_account query parameter.
  • Each line books against a ledger account or a partner (customer, supplier or employee).
  • A financial entry generates a journal entry. Read it back with the journal entry endpoints.
  • automated_matching_number matches a line with an open invoice or outstanding item.
