# EBP Comptabilité

> How to connect your EBP Comptabilité company: what you need, how to prepare it, and how to install the local agent.

# 🚨 Prerequisites

Before you start, make sure you have:

* EBP Comptabilité ELITE, version 24.8 or later, installed on your own server or computer (local subscription), and activated there. The online version, EBP Comptabilité en ligne, cannot be connected.
* EBP's command-line module, **Module SDK**, active on your EBP license
* an active EBP **Offre de Services** subscription: EBP requires it for software connected through its SDK. If you do not have one, it is an extra subscription, on quote from EBP or your reseller.
* a Windows administrator account on the server or computer where EBP Comptabilité is installed: the local agent is installed on that same machine
* the right to create a user in your EBP company

# 🛠 Preparation

**1. Find the path of your company's .ebp file**

The connection needs the full path of the `.ebp` file of the company you want to connect, not of its folder.

In EBP Comptabilité, open the main menu at the top left (**Mes paramètres**), then go to **Gestion de dossiers** › **Maintenance des données**.

In the **Maintenance** window, copy the value of **Raccourci vers le dossier à maintenir**. It looks like `C:\Users\Public\Documents\EBP\Comptabilite\Dossier.ebp`. Keep it: you will paste it into the local agent's configuration.

**2. Create an EBP user for the connection**

EBP allows one session per user and company. If the connection uses the same EBP user as someone working in EBP, nothing can be created in EBP while that person is connected. Without a user of its own, the connection uses EBP's default user (ADM).

In EBP Comptabilité, open the main menu at the top left (**Mes paramètres**), go to **Gestion des utilisateurs** › **Utilisateurs**, and click **Ajouter**. Create a user for the connection, with a password. Keep both: you will enter them in the local agent's configuration. Records created through the connection show this user as their author in EBP.

# ⚡️ Connection

**1. Name your connection**

In **Name of connection**, enter a name you will recognize later, for example the name of your EBP company. It is the only field on the form.

![The Name of connection field in the connection form](https://mintcdn.com/chift/BG9uxFUWp4eXnmUw/images/help/ebp_accounting/ebp_accounting-5.png?fit=max\&auto=format\&n=BG9uxFUWp4eXnmUw\&q=85\&s=2d5e130762a216c785272cf8072ecc4f)

**2. Click Connect**

Two options are shown:

* If you are on the machine where EBP Comptabilité is installed, click **Download** to get the installer.
* If someone else installs it, click **Send by Email** and enter their email address.

# ✅ Authentication

The connection downloads an installer. Install it on the server or computer where EBP Comptabilité runs, by following the [local agent installation guide](https://docs.chift.eu/help/guides/local-agent.md). Then come back here for the steps specific to EBP Comptabilité.

**1. Run the installer next to EBP Comptabilité**

Run the installer on the same machine as EBP Comptabilité. It installs the local agent service and Cockpit, its configuration window. Keep the service on the **Local System** account, the installer's default: EBP's import of entries has been seen to fail under a Windows user account.

For Cockpit itself, see the [Cockpit user guide](https://docs.chift.eu/help/guides/local-agent-cockpit-user-guide.md).

**2. Fill in the EBP connection in Cockpit**

At the end of the installation, Cockpit opens and asks for the configuration of the connection.

| Field | What to enter |
| - | - |
| **EBP company file** | The full path of the company's `.ebp` file, from Preparation step 1 |
| **EBP SQL Server username** | Leave empty to use the Windows account of the local agent's service. Otherwise, a SQL Server login that can read the EBP database |
| **EBP SQL Server password** | The password of that SQL Server login, or empty |
| **EBP user** | Recommended: the EBP user you created in Preparation step 2. Empty: EBP's default user |
| **EBP user password** | That user's password |

**3. Check the connection**

Cockpit checks the connection when you save it, and shows two lines:

* **EBP Accounting database**: the `.ebp` file was read and the company's database opened. Reading data needs it.
* **EBP Accounting application**: EBP Comptabilité is installed on this machine. Creating and updating data needs it. It shows *Not checked, because a check above did not pass* when the `.ebp` file could not be read: fix the database line first.

When both lines pass, the connection is ready. The EBP user and password are not checked here: the first record created in EBP uses them. If a line fails, see Troubleshooting below.

# ⚙️ Setup

## Entries in other currencies

To send entries or invoices in a currency other than the euro, switch on EBP's multi-currency feature.

1. In EBP Comptabilité, open the main menu at the top left and go to **Paramètres société** › **Fonctionnalités disponibles**.
2. Tick **Multi-devises**.
3. Make sure the currency is in the company's list of currencies (**Devises**). Add an exchange rate there, dated on or before the entries, unless the rate is sent with each entry.

![The Fonctionnalités disponibles page of the Paramètres société in EBP Comptabilité, with the Multi-devises option ticked](https://mintcdn.com/chift/BG9uxFUWp4eXnmUw/images/help/ebp_accounting/ebp_accounting-1.png?fit=max\&auto=format\&n=BG9uxFUWp4eXnmUw\&q=85\&s=42f5ef804d522721b972ef39f6df405b)

If you skip this, entries in another currency are refused: `ERROR_CURRENCY_NOT_ALLOWED` without **Multi-devises**, `ERROR_CURRENCY_NOT_FOUND` when the currency is not in the list.

## Analytics

To allocate entries and invoices to analytic accounts, set up analytics in EBP.

1. In **Paramètres société** › **Fonctionnalités disponibles**, tick **Analytique**.
2. Tick the **Principal** box of the analytic plan to use by default.
3. On each general account that should take analytics (usually income and expense accounts), switch on its analytic option.

If you skip this, records with analytic accounts are refused:

* without **Analytique**: `ERROR_ANALYTIC_ACCOUNTING_NOT_ACTIVE`
* without a plan ticked **Principal**: `ERROR_ANALYTIC_ACCOUNTING_PLAN_NOT_CONFIGURED`, for analytic accounts and invoices sent without a plan
* on an account without the analytic option: `ERROR_ACCOUNT_NUMBER_NOT_GOOD_SCOPE`

# ❓ Troubleshooting

> [accordion] Cockpit: its EBP shortcut '…' does not exist
>
> The **EBP company file** field points at a folder instead of the company's `.ebp` file, or the file was moved or deleted.
>
> Enter the full path of the company's `.ebp` file (Preparation step 1).

> [accordion] Cockpit: the .ebp file could not be read, or carries no 'ConnectionString'
>
> The file is not an EBP company shortcut, or the Windows account of the local agent's service cannot read it.
>
> Choose the company's `.ebp` file, and check that the service account can read it. If the message persists, open the company once in EBP: it rewrites its shortcut file.

> [accordion] Cockpit: the database refused the login, or the SQL Server could not be found
>
> The company's SQL Server could not be reached with the connection's settings. The server and the database come from the `.ebp` file; only the login is set in Cockpit.
>
> Check **EBP SQL Server username** and **EBP SQL Server password** (both empty: the Windows account of the local agent's service), and that the SQL Server named in the `.ebp` file is running and reachable from this machine.

> [accordion] Cockpit: EBP is not installed on this machine
>
> EBP Comptabilité is not installed on the machine running the local agent, or its installation is broken. Data can still be read, but nothing can be created in EBP.
>
> Install or repair EBP Comptabilité on the machine running the local agent.

> [accordion] EBP could not open the company: L'utilisateur … est déjà connecté
>
> Someone is working in the company in EBP with the same EBP user as the connection. Or an EBP session was not closed (EBP crashed, or an import was stopped), and EBP still counts the user as connected.
>
> 1. Create an EBP user for the connection (Preparation step 2) and enter it in Cockpit, in **EBP user** and **EBP user password**.
> 2. To end a session left behind, when nobody uses that EBP user, go to **Mes paramètres** › **Gestion de dossiers** › **Maintenance sur les utilisateurs** in EBP.

> [accordion] EBP could not run the import: Le login ne correspond à aucun utilisateur
>
> The EBP user or password of the connection is wrong, or the user is blocked in EBP.
>
> Open the company in EBP with that user and password to check them, then correct them in Cockpit.

> [accordion] EBP refused the record: Vous avez atteint la limite du nombre d'écritures pour la version de démonstration
>
> EBP Comptabilité is not activated on the machine running the local agent, or its license has expired. It then runs as a demonstration version, which creates no entry once the company has 100 entry lines. This often happens after installing a new version of EBP: an activation code is valid for one version only.
>
> Activate this version of EBP Comptabilité on the machine, with the activation code of that version (EBP's support or your reseller provides it).

> [accordion] A record may or may not have been imported
>
> EBP stopped without saying why, or was stopped after 90 seconds.
>
> 1. Look in EBP before sending the record again: it may have been created.
> 2. Check that the **Module SDK** is active on your EBP license.
> 3. Check that the local agent's service runs as **Local System**.

> [accordion] ERROR\_CURRENCY\_NOT\_ALLOWED or ERROR\_CURRENCY\_NOT\_FOUND
>
> The entry is not in euros, and EBP's multi-currency feature is off in the company, or the currency is not in its list of currencies.
>
> Switch on **Multi-devises** and add the currency (see Setup: Entries in other currencies).

> [accordion] ERROR\_EXCHANGE\_RATE\_NOT\_FOUND
>
> The company has no exchange rate for the entry's currency on or before the entry date, and none was sent with the entry.
>
> Add a rate for the currency in EBP (**Devises**, its rates), dated on or before the entry date.

> [accordion] ERROR\_ANALYTIC\_ACCOUNTING\_NOT\_ACTIVE, ERROR\_ANALYTIC\_ACCOUNTING\_PLAN\_NOT\_CONFIGURED or ERROR\_ACCOUNT\_NUMBER\_NOT\_GOOD\_SCOPE on analytics
>
> Analytics are not set up in EBP for what was sent: analytics switched off, no main plan, or an account that does not take analytics.
>
> Follow Setup: Analytics.
